Agent Load Listing Process
- Upload all listing documents to reZEN for Broker approval
- Agents enter the listings on the MLS and make changes to any non contractual fields while they are active.
Listing Cancellation or Withdrawal Process

Have listing cancellation or withdrawal documents signed by your client first.
Please send listing cancellation or withdrawal documents to listingsCAD@therealbrokerage.com in an electronic signature platform (DocuSign, AuthentiSign, Real Signature) with Ryan Vollmar as the signer name. Please include the board email address data@sra.ca as a receiver or CC on the signing envelope so they receive the completed document to be terminated.
- When the document is received it will be reviewed for completeness and our team will ensure the file is created in reZEN and verify the information provided.
- Once signing is complete, if you have included the boards email in the signing envelope they will receive the document for cancellation, if not, you will need to forward the signed document to the board to be cancelled or withdrawn.

Upload the signed document to reZEN.
To report a sales transaction to the board
- Agents are to update the status of their listing as soon as possible after documents are signed as outlined in the ICA.
- Log in to the MLS system and edit the status of the listing to reflect the new conditional or firm sold status of the property.
- Once the listing is firm, upload any necessary documents to the reZEN file.
Showing Service
- Agents are to use BrokerBay for all showings.
- Please ensure listings are synched with Brokerage once live.
Listing Transfers
- Listings cannot be transferred from one brokerage to another, the listing must be cancelled or expired prior to an agent transfer.
Board Billing
- All fees incurred by an agent for board membership dues and associated fees will be billed to the agent by the brokerage. Agents are responsible for paying these dues in a timely manner.
